Paperless-ngx for coworking documents

Paperless-ngx OCR-indexes scanned documents. In coworking, begin with 20 historical supplier invoices to test scan quality and search before introducing member mail, contracts, or other higher-risk records.

Fit and non-fit

Good fit: a technically operated document archive with approved categories, access segregation, retention, quality control, and encrypted backups.

Poor fit: an unattended virtual-mailroom workflow, storage of member scans without legal/privacy review, a payment processor, or destruction of originals before retrieval and export are proven.

License and cost boundary

Paperless-ngx is OSI-approved open source under GPL-3.0-only. Budget for compute, OCR CPU, storage, TLS, scanner/intake setup, tagging and migration, updates and quality review, optional scanning/integration tools, encrypted backups, and support. No infrastructure amount is asserted.

Record software, hosting, setup, maintenance, plugins/extensions, and support separately; mark each as applicable, not applicable, or unknown rather than assuming a zero cost.

Prerequisites and data map

Assign document, finance, privacy, and technical owners. Define document classes, correspondents, tags, access groups, original-retention rules, deletion, scan quality, and member-document segregation.

Document images, OCR text, tags, and metadata may contain personal data. Payment data is not asserted, but invoices can be sensitive.

Smallest useful experiment

Following official documentation, scan 20 historical supplier invoices and validate OCR/search, tags, permissions, and export. Do not introduce member mail until privacy, access segregation, and retention are separately approved.

Implementation sequence

  1. Select 20 non-current, approved supplier invoices and keep originals.
  2. Define tags/correspondents and acceptance checks before scanning.
  3. Deploy staging with TLS, restricted roles, storage, and encrypted backups from official docs.
  4. Ingest the pilot and manually quality-check images, OCR, metadata, and duplicates.
  5. Test search, correction, access denial, deletion, and export.
  6. Document intake, quality, retention, privacy-request, and original-disposal procedures.
  7. Complete clean restore before considering member-mail workflows.

Security and privacy controls

  • Segregate finance, staff, and any future member records by approved access design.
  • Use TLS, named least-privilege accounts, supported updates, and encrypted restricted backups.
  • Minimize stored documents and metadata; enforce retention/deletion.
  • Quality-check OCR and correspondence tags because incorrect indexing can expose records.
  • Keep payment credentials out; treat invoice data as sensitive.
  • Require explicit privacy/legal review before virtual-mail scanning.

Backup, export, and restore test

Back up database, document/media storage, configuration, and required application state using official guidance. Restore to clean staging and verify all 20 images, OCR text, tags, correspondents, permissions, and search results. Export representative documents and metadata and confirm retrieval without the original instance.

Integrations and manual handoffs

No scanner, email, accounting, or mailroom integration is catalog-verified. Staff manually select and scan pilot documents; finance validates categorization; privacy approves scope; technical staff operate storage/recovery. Keep originals under the existing retention process.

Human oversight

People decide what may be scanned, validate quality, correct metadata, control access, and authorize retention/destruction. Paperless-ngx augments digitization and search; it does not interpret legal mail or replace mailroom/finance judgment.

Operational checklist

  • Document, finance, privacy, and technical owners named
  • Pilot excludes member mail and current originals
  • Taxonomy and access groups approved
  • All 20 scans quality-checked
  • OCR/search and denied-access tests passed
  • Retention/original-disposal procedure recorded
  • Representative export verified
  • Clean encrypted-backup restore passed

Rollback and exit

Retain originals and the prior archive during the pilot. Roll back by stopping intake, exporting images/metadata, reconciling the 20 documents, revoking access, and removing the test system under retention. Before expansion, prove bulk export and define how tags, correspondents, OCR, and permissions map to a replacement.

Verification and unknowns

Snapshot verified 2026-07-17 from Paperless-ngx documentation and the repository.

Unknown until tested: scanner/intake behavior, OCR accuracy for local documents, export fidelity, storage growth, production sizing, support, integrations, and legal/privacy requirements for member mail and original destruction.
